Matern Staffing is hiring an Administrative & Financial Coordinator for an environment construction company in King George, VA. As the Administrative & Financial Coordinator, you’ll be the central support for office operations, customer and vendor communication, and project coordination. You’ll also play a vital role in financial processing, from payroll support to invoice management.

The Administrative & Financial Coordinator works closely with both internal staff and external vendors and customers to keep projects, people, and paperwork on track. Each day brings a new mix of responsibilities, so it’s a perfect role if you like variety and the satisfaction of keeping things running smoothly.

Salary:

  • $52,000/yr

Schedule:

  • Monday through Friday (40 Hours a week)

  • Answer phones, greet customers and vendors, and manage incoming mail and messages
  • Keep the office stocked and running—manage supplies, equipment, and general office needs
  • Assist with onboarding new hires and enrolling them in company benefits
  • Communicate with customers and vendors in a professional, friendly manner
  • Enter payroll and certified payroll information and assist with related reporting
  • Help coordinate and maintain project information, documentation, and reports
  • Organize both digital and paper files, and research past project data to support estimating
  • Track and enter payables, and maintain ongoing communication with vendors
  • Assist with project submittals and help compile project manuals
  • Develop templates for project documentation using Word or Excel

What You’ll Need

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with QuickBooks (required) and Foundation (a plus)
  • Previous experience with job costing or construction industry preferred
  • Ability to manage competing priorities and work independently with minimal oversight
  • Detail-oriented and systematic approach to organizing work and following through
  • Strong interpersonal and communication skills
  • Ability to pass background check and drug screen
