Bills, invoices, and payments – oh my! As the Accounts Payable Clerk, you’ll be the numbers person supporting the organization through vendor relationship management, payment processing, reporting, reconciliation and more. When there are accounting discrepancies, you’ll use your curiosity, understanding of accounting principles, and excellent communication skills to problem solve. 

Matern Staffing is hiring an Accounts Payable Clerk (job id 1752) at a nonprofit organization in downtown Fredericksburg, Va. The Accounts Payable Clerk will be responsible for the receiving, approving, data entry and paying invoices.

This is an entry-level position in a direct hire opportunity.

What You’ll Do:

  • Prepare and code invoices 
  • Review and reconcile vendor statements and resolve discrepancies with affected departments 
  • Initiate and monitor the recurring expense payment process 
  • Maintain vendor files including W-9 forms, reports, payment records, annual 1099 MISC/1099R forms, and backup withholdings
  • Manage and sort incoming vendor mail
  • Process emergency payments
  • Prepare ad hoc and periodic financial and statistical reports
  • Verify proper approval exists for payment requests. Matches invoices with approved requisitions 

What You’ll Need:

  • High school diploma and some administrative work experience 
  • Basic understanding of accounting and bookkeeping principles 
  • Proficient computer skills to ensure accurate and efficient record keeping 
  • Positive self-starter with a proactive approach, excellent time management, and prioritization skills 
  • Excellent written and verbal communications and interpersonal skills for interacting with vendors and the organization’s departments
  • Strong attention to detail with great follow-through to ensure accuracy and comprehensiveness
